The Japan Foundation Center for Cultural Exchange in Vietnam conducts a wide range of activities with the support and cooperation of many individuals and organizations. As part of these activities, we collect certain information for project analysis, research, and publication purposes. This may include feedback, comments, reactions, and challenges faced by participants during the activities, as well as responses to questionnaires provided during or after events.
Additionally, photographs and videos captured during the activities that you participate in may be used for analytical purposes and in promotional materials related to the Japan Foundation’s initiatives.
We kindly ask all participants to acknowledge and accept these terms as a condition for their participation in activities and events of the Center.
A. Purpose and Methods of Using Information for Analysis and Analysis Results
- The information and data collected may be used by the Japan Foundation for internal analysis. Additionally, all or part of the information may be included in reports, promotional materials, or research publications produced by the Japan Foundation.
- Furthermore, the Japan Foundation, at its discretion and responsibility, may use or authorize the use of the collected information and data for internal and external academic research and studies.
- The collected information, including reports, research findings, or academic theses, are not only used as internal data of the Japan Foundation but may also be published in the form of publications, information on social media, information on the website, or a combination of these forms.
- Photographs and videos capturing participants’ faces and expressions may be used for academic research or studies, both internally and externally, as well as for promoting the Japan Foundation’s activities.
B. Information Management
- The Japan Foundation will take appropriate measures to manage the information and data collected with great care. If the information contains personal details, it will be protected and handled in accordance with the Japan Foundation’s data protection policies.
- When using the collected information as described in section I, individual comments, notes, or responses will generally be anonymized. If it is necessary to disclose a participant’s identity in conjunction with their responses or comments, explicit permission will be sought beforehand.
- However, in the case of photographs and videos, the Japan Foundation may use the participants’ faces (including expressions) without applying any alterations or masking.
